Reporting & Reconciliation

Reconciliation

The process of matching fundraising platform records against a program's or school's own financial records.

What it means

Reconciliation is the process of comparing HypeRaise's own campaign and payout records against a program's independent financial records, whether that's a booster club's bank statements, a school's business office accounting system, or a treasurer's own internal tracking, to confirm that the numbers line up correctly.

How it works on HypeRaise

This typically happens on a regular cadence, monthly for an active campaign, or at minimum at the close of each campaign, when a treasurer pulls HypeRaise's exportable reports and checks them against the program's bank account activity. A clean reconciliation confirms that every payout shown on the platform actually arrived in the bank account, and that no unexpected discrepancy exists between the two sets of records.

Key details

Clean, exportable reporting from HypeRaise directly supports faster reconciliation, since a treasurer working from a CSV export can match transactions line by line rather than manually reconstructing totals from scattered notes or memory. This matters particularly for volunteer-run booster clubs, where the person doing reconciliation this year may not be the same person who set up the campaign originally.

Regular reconciliation also reduces risk during a school audit or an annual booster club financial review. A program that can show a clear, consistent match between platform records and bank statements across an entire fundraising cycle demonstrates financial diligence far more convincingly than one relying on informal tracking that would be difficult to reconstruct under scrutiny.

Why it matters for administrators

Clean, exportable reporting makes reconciliation faster for treasurers and reduces the risk of unexplained discrepancies during a school audit.
